Yulia Bortun | Calm Luxury, Embodied (referred to as “the Studio”, “we”, “us”, or “our”) is deeply committed to protecting the privacy, confidentiality, and security of the personal and health-related information shared by our clients and website visitors.
This policy explains how we collect, use, disclose, and safeguard your personal data both in our physical studio and through our digital platform, in strict compliance with Quebec’s privacy legislation, including Law 25 (An Act to modernize legislative provisions as regards the protection of personal information).


PART 1: STUDIO PRIVACY PRACTICE (LAW 25 COMPLIANCE)

1. INFORMATION WE COLLECT
To provide a personalized, safe, and deeply restorative wellness experience, we collect two types of information:
General Identity & Contact Data: Full name, date of birth, occupation, email address, phone number, and emergency contact details. This is collected when you book a session through our online booking system (Setmore) or contact us via our website.
Somatic & Wellness Information: Information regarding your stress landscape, sleep quality, physical tension patterns, digestive comfort, general lifestyle habits, and any physical conditions relevant to professional relaxation massage. This information is collected explicitly through our physical, hand-written Embodied Well-being Consultation Form filled out in the studio.

2. HOW WE USE YOUR INFORMATION
We collect and process your personal data strictly for the following purposes:
To administer, customize, and deliver your massage sessions, wellness consultations, and multi-session programmes.
To ensure your physical safety during bodywork and respect any health considerations or contraindications.
To manage your appointments, bookings, and payments through Setmore or electronic transfers.
To comply with the ethical and professional record-keeping standards required for providing insurance receipts (reçus d’assurance) for relaxation massage.

3. DATA RETENTION, SECURITY & STORAGE
We treat your somatic and personal history with the highest level of premium care and discretion.
Physical Records: Hand-written intake forms and paper records are stored securely in a locked, private facility within the studio. They are accessible exclusively by Yulia Bortun.

Digital Records: Contact details, appointment history, and scheduling data are managed through our secure online booking partner (Setmore). We do not store financial credit card details directly on our website servers.

Retention Period: In accordance with Quebec legal standards, we retain your files only for as long as necessary to fulfill the wellness services requested or to satisfy legal, accounting, and insurance reporting requirements.

4. NON-DISCLOSURE & THIRD-PARTY SHARING
We do not sell, rent, trade, or share your personal or health data with third parties. Your lifestyle patterns and physical histories remain strictly confidential. Information will only be disclosed if required by law or to protect your vital physical safety in an emergency situation.

5. YOUR PRIVACY RIGHTS (Quebec Law 25)
Under Quebec’s Law 25, you hold the following rights regarding your personal information:
Right to Access: You have the right to request a review of the personal and wellness data we hold about you.
Right to Rectification: You have the right to correct any inaccurate or incomplete information in your file.
Right to Withdraw Consent: You can withdraw your consent to our collection or retention of your data at any time. Please note that withdrawing consent may limit our ability to safely perform certain massage or bodywork services.

PART 2: WEBSITE DATA, COOKIES & TECHNICAL POLICY

1. COMMENTS
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: automattic.com. After approval of your comment, your profile picture is visible to the public in the context of your comment. Visitor comments may be checked through an automated spam detection service.

2. MEDIA
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

3. COOKIES
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

4. EMBEDDED CONTENT FROM OTHER WEBSITES
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

5. TECHNICAL DATA RETAINMENT & RIGHTS
If you request a password reset, your IP address will be included in the reset email.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
